When a business outgrows spreadsheets, the choice is usually between adopting an established CRM and commissioning custom software. Both can be the right answer. The skill is knowing which fits your situation.
When a ready-made CRM is the better choice
If your sales process looks broadly like everyone else’s (capture a lead, follow up, send a proposal, close), an established platform will almost always be quicker and cheaper. You get years of refinement, mobile apps and integrations for the price of a subscription and a good set-up.
When custom software is worth it
Custom makes sense when your process is genuinely unusual, when you need tight control over data and workflow, or when the monthly cost of licences across many users would exceed the cost of building your own. It also suits companies who want the system to become part of what makes them different.
Questions to ask yourself
- Can we describe our process in a page, or does it have many exceptions?
- How many people will use it, and will that number grow?
- Which other tools must it connect to?
- Who will maintain it in three years?
A middle path
Many of our clients start with a configured CRM and add small custom pieces around it, such as a quote generator or a reporting dashboard. That keeps the foundation proven and the custom work focused on what is truly specific to you.
